Privacy Policy

This privacy notice explains what personal information we collect when you use our website or get in touch, why we collect it, who we share it with, how long we keep it and the rights you have under UK data protection law.

Last updated: October 2026

Who we are

This website is run by Northallerton House Clearance ("we", "us" or "our"). We are the controller of the personal information described in this notice, which means we decide how and why it is used.

If you have any questions about this notice or how we handle your information, please email us at info@northallertonhouseclearance.co.uk. We may update this notice from time to time, for example if we change how we use your information, and the latest version will always be on this page.

The information we collect

Enquiries and quote requests

When you use our contact or quote form, we collect the details you give us: your full name, phone number, email address, the property address and postcode, your preferred contact method, the service you're interested in and your message.

Reviews and testimonials

If you submit a review, we collect your name, your location (for example, your town or village), your star rating, your review text and, if you choose to give it, your email address. Reviews are only published once we have approved them. If your review is published, your name, location, rating and review text may appear on our website. Your email address is never published.

Website statistics

We keep simple statistics about how our website is used, collected without cookies. For each visit, this includes the page visited, the date and time, the website that referred you (if any), your IP address, your browser and device details (known as the user agent) and your approximate country. We use these statistics to understand which pages are useful and to keep the website working well. We don't use them for advertising or to build profiles of individual visitors.

Security and anti-spam records

To protect our forms from spam and abuse, we keep records of the IP addresses and email addresses of senders we have blocked. Because the same spam often targets several websites, these records may be shared with our other websites so that the same senders can be blocked there too.

Emails we exchange

If you email us, or we email you about an enquiry or a clearance, we keep copies of those messages and any information or attachments they contain, such as photos of a property.

How we use your information and our lawful bases

UK data protection law, including the UK GDPR, requires us to have a lawful basis for using your personal information. We rely on the following:

  • Steps prior to a contract: when you ask for a quote or for information about our services, we use your details to reply, arrange a visit and prepare a quote. This is necessary to take steps at your request before entering into a contract.
  • Legitimate interests: we use website statistics to understand and improve our website, security and anti-spam records to protect our website, forms and our other websites, and emails to manage enquiries and keep a record of what was discussed and agreed. We have considered these interests and believe they are fairly balanced against your rights. You can object at any time.
  • Consent: where relevant, such as publishing your review, we rely on your consent. You can withdraw your consent at any time by emailing us, and we will remove your review from the website.

Who we share your information with

We only share your personal information where it's needed to run our website and respond to you:

  • Our website hosting provider, which stores the website and the information submitted through it.
  • Our email provider, which carries and stores the emails we send and receive.
  • Our website and enquiry-management partner, who receives a copy of enquiries to help us respond to them.
  • Our other websites, but only security and anti-spam records, as explained above.

These organisations may only use your information to provide their services to us. If any of them process information outside the UK, we make sure appropriate safeguards are in place as UK law requires. We may also disclose information where we are legally required to. We never sell your personal information.

How long we keep your information

  • Enquiries, quote requests and related emails: up to 24 months.
  • Website statistics: up to 12 months.
  • Security and anti-spam logs: up to 90 days.
  • Published reviews: for as long as they appear on our website, or until you ask us to remove them.

When information is no longer needed, we delete it securely or make it anonymous.

Cookies

Our website uses only two essential cookies:

  • A security cookie, used on our forms to help stop automated spam.
  • A session cookie, used only when our staff log in to manage the website.

These cookies are strictly necessary for the website to work securely, so they don't need your consent. We don't use advertising cookies or tracking cookies, and our website statistics are collected without cookies.

Your rights and how to complain

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the personal information we hold about you (access);
  • ask us to correct information that is wrong or incomplete (rectification);
  • ask us to delete your information (erasure);
  • ask us to limit how we use your information (restriction);
  • object to us using your information where we rely on legitimate interests (objection);
  • ask for information you gave us to be provided in a commonly used electronic format, or sent to another organisation (portability).

Some of these rights only apply in certain circumstances. To make a request, email info@northallertonhouseclearance.co.uk. We will reply within one month, and we won't usually charge a fee.

Making a complaint

If you're unhappy with how we've handled your information, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, using the ICO's online complaints service.
